Registration Instructions
Download the App

On the Login page, tap "Sign Up Here."

Create Your Account

Enter your Email Address and Create a Password. Re-enter your password in the Confirm Password field.

Tap "Sign Up."

Verify Your Email
-
Check your inbox for a verification email and follow the instructions provided.
How to use the app?

When prompted, select "Perform Electronic Visit Verification (EVV)."
-
On the "Connect Your Account" page, you’ll be asked for an activation code.

This custom code is included in the welcome text message sent by your caregiver manager.

Fill out all required fields (marked with an asterisk *) on the registration page.

Tap "Continue."

Verify Your Phone Number
-
Respond to the automated text message to verify your Primary Phone Number.

HHAExchange Clocking In/Out
How to clock in?
Open the Visit

Go to the Schedule page.

Tap the patient visit to open the Visit Details.
Review Visit Details
- Scheduled Time – Displays your shift duration and a live timer showing time worked.
- Client Details – Shows the client's name, address, and, if available, the Plan of Care Tasks.
If the Visit Is Not Scheduled

Tap + New Unscheduled Visit to create one.

After creating the visit, open its Visit Details.
Clock In
📍 Important: Make sure GPS/location services are enabled to clock in successfully.

From the Visit Details page, tap Clock In.
Continue and Confirm

Tap Continue to move forward.

The Visit Details page will reappear.

At the top-right corner, check that your clock-in status shows:

✅ "Clock In Successful", or
-
⏳ "EVV Clock In Pending Approval"

How to clock out?
Complete Plan of Care Tasks
✅ Check off all duties that were performed.

❌ Mark tasks your client refused.
-
Leave tasks blank if they were not completed and not refused.

If the visit includes a Plan of Care:🔎 Only document information directly related to the client’s care or status. Do not include unrelated notes.
Clock Out
Scroll to the bottom of the Visit Details page and tap Clock Out.
Verify Location (GPS)
The Electronic Visit Verification (EVV) screen will appear.

Ensure GPS is enabled so your location can be verified.

Tap Continue to proceed.
Confirm Clock-Out Status
The Visit Details page will return.

Check the top-right corner to confirm:

✅ "Clock Out Successful", or
-
⏳ "EVV Clock Out Pending Approval"

Also confirm your clock-in status shows as successful or pending approval.
